The British Columbia Teachers' Federation (BCTF), located on the unceded ancestral territories of the xʷməθkʷəy̓əm, sḵwx̱wú7mesh, and səlil̓w̓ətaɬ nations since 1917, is a union of professionals representing over 50,000 public school teachers throughout the province of BC.

The BCTF office building is situated in close proximity to the Canada Line and other major transit routes in a central Vancouver location. This is an in-person position based out of 550 West 6th Avenue, in Vancouver. 

Function and Purpose

To provide administrative, communications, and digital publishing assistance to the director and assistant directors in the Communications and Campaigns Division (CCD), which is the division responsible for the internal and external communications for the federation, the Annual General Meeting (AGM), the Representative Assemblies (RA), the Executive Committee (EC) and the respective officers.

Principal duties and responsibilities

  1. Provides administrative support to the director and assistant directors of the CCD division. Some duties may include:
    • Proofreading various correspondence.
    • Preparing meeting agendas.
    • Minute taking.
    • Preparing documents for posting to the BCTF website and other digital spaces.
    • Preparing leave of absences (LOAs).
    • Maintaining/updating contact lists.
    • Making travel arrangements.
    • Arranging meeting space and catering.
    • Any other clerical duties which contribute to the overall smooth operation of the CCD division.
  2. Takes draft hardcopy and electronic documents from a variety of sources and converts them into various digital formats suitable for electronic publishing and transmission.
  3. Manages and oversees all administrative duties related to postings for all committee and task force vacancies. Some duties may include:
    • Uploading postings to the BCTF website.
    • Monitoring incoming applications.
    • Providing updates to applicants on the recruitment process.
    • Updating, maintaining, and archiving the committee book to reflect changes.
  4. Provides administrative and technical support for the RA, the AGM, local president’s meetings, and any other CCD conferences by attending these events in person, and performing such duties as:
    • Projecting electronic overheads.
    • Preparing amendments to motions, online updates, vote tallies, speaker presentations, and announcements.
    • Creating PowerPoint presentations as required and any other general communication.
    • Assisting with the co-ordination of childcare.
    • Making travel arrangements and arranging catering.
    • Setting up meeting rooms for delegates by distributing all applicable materials and documents.
    • Managing and maintaining the event space online.
    • Managing and overseeing the Outreach Fair at the AGM.
  5. Uses digital platforms to prepare, design, and layout mass communications sent to members, including BCTF News, messages from the President, bargaining updates, and events/opportunities to specific members. Manages audience lists through various digital platforms and prepares reports on readership statistics.
  6.  Copyedits Teacher magazine.
  7. Manages and oversees the database of classified and display ads for the Teacher magazine. Solicits and liaises with previous and new advertisers. Provides vendor lists to the accounting department after publication of magazine for invoicing.
  8. Manages a subscription service for non-BCTF members and a service to faculties of education who provide copies of Teacher magazine for student teachers. Manages subscriptions within UnionWare for retired teachers, Teachers Teaching on Call (TTOCs), schools, and others. In conjunction with the CCD supervisor, manages the circulation, liaising with Member Records/Production staff to ensure efficient distribution of Teacher magazine, and monitors circulation and distribution arrangements.
  9. Co-ordinates Community Outreach grants.
  10. Provides back-up support to other CCD support staff and the Executive Offices as required.
  11. Other related duties as assigned by supervisor.

Required experience

  • Two (2) years’ experience performing administrative duties within a similar environment.
  • Demonstrated experience with proofreading and copyediting.
  • Demonstrated experience with digital technology and social media platforms.
  • Demonstrated experience with the Microsoft Office suite.
  • Demonstrated ability to perform effectively, both independently and as part of a team in a fast-paced environment, and the ability to meet time sensitive deadlines.

Required education/training

  • Completion of secondary school (Grade 12) plus one (1) year in office/administrative methods and procedures.
  • Coursework in proofreading and copyediting.
  • Coursework in effective minute taking.
